ERP operations

Self-paced · updated with each release

Audience: Operations managers, admin staff, transport/hostel wardens
Duration: ~2 hours
Prerequisites: Getting started · Teacher guide

Learning objectives

  • Navigate the operations hub and module routes
  • Run transport, hostel, library, and visitor workflows
  • Connect operations data to parents on mobile
  • Know when to use ERP vs CRM

1. Operations hub

Route: /erp/operations

Landing page for non-academic, non-finance modules. Confirm your plan includes each module before go-live training.

2. Transport

Route: /erp/transport

  • Routes, stops, vehicles, and driver assignments
  • Parent app shows live bus context when GPS integrations are enabled
  • Drivers use Driver mobile: /erp/mobile/driver

Pair with Mobile apps guide.

3. Hostel & inventory

Route Purpose
/erp/hostel Rooms, allocations, hostel attendance
/erp/inventory Stock, issues, campus stores

Inventory workflow (typical):

  1. Define stores (main store, lab, uniform shop) and item categories.
  2. Receive stock against purchase or opening balance.
  3. Issue to staff or students — link to student when charging fee items.
  4. Run low-stock reports before term start (books, uniforms, lab kits).

Hostel moves (room change, checkout) should match finance if hostel fees are billed separately — see Finance.

4. Library

Route: /erp/library

  • Catalog, issue/return, overdue reminders
  • Optional linkage to student records in /erp/students

5. Visitors & health

Route Purpose
/erp/visitors Gate pass, visitor log
/erp/health Infirmary visits, health records
/erp/wellbeing Counselling / wellbeing notes (policy-controlled)

6. Alumni

Route: /erp/alumni

Engage graduates; separate from active student roster.

7. Parent visibility

Operations updates (bus delay, hostel notice) often publish via Help desk & announcements to parent mobile.

Practice exercise

  1. Create a transport route with two stops and assign a demo student.
  2. Issue a library book and return it.
  3. Log a visitor entry at gate.
