Plans, billing & usage

Self-paced · updated with each release

Audience: School owners, admins, finance contacts
Duration: ~45 minutes
Prerequisites: Getting started · IT admin

Learning objectives

  • See which Skolzo products and modules your school purchased
  • Manage payment method and Skolzo subscription invoices
  • Read usage meters before hitting limits
  • Know who can upgrade vs who uses day-to-day ERP/CRM

1. Two different “billing” concepts

Type Where What it is
Skolzo subscription CRM/ERP Plan & billing Your contract with Skolzo (seats, modules, trial)
Parent fee billing ERP /erp/fees, /erp/payments Student invoices — Finance guide

This guide covers Skolzo subscription only.

2. CRM routes

Route Purpose
/school-panel/plan Current plan, upgrade options, feature comparison
/school-panel/billing Payment method, Skolzo invoices, receipts
/school-panel/usage Seat counts, metered features, alerts

Same screens exist on ERP when you manage billing from operations login:

Route Purpose
/erp/plan Plans & pricing
/erp/billing Billing
/erp/usage Usage meters

Use whichever portal you normally sign into — institution billing is shared.

Enterprise quote checkout

When Skolzo sales sends a signed quote link, authorized signatories pay on:

Route: /school-panel/quote-pay?token=… (opened from email or /quote/[token] on skolzo.com)

This is Skolzo contract checkout, not parent fee payment. After success, plan entitlements update per the quote — confirm on /school-panel/plan.

3. Entitlements & locked menu items

Some sidebar items show a lock when your plan does not include a module (e.g. advanced telephony, document registry). Admins with billing access see upgrade prompts; other staff should ask leadership to change plan or purchase add-ons.

IT admins assign who may open billing: typically school_admin or finance leadership — Users & roles.

4. Trial & go-live

During trial:

Skolzo customer success may extend trial — contact your account manager or hello@skolzo.com.

5. Directory advertising (separate from core ERP)

Directory plans and sponsored listing are marketing products:

See Marketing & directory for public listing content; this guide covers subscription payment for those add-ons when invoiced through billing.

6. Franchise & multi-campus

Group HQ may centralize billing — Franchise HQ. Campus admins might have read-only usage while HQ pays the Skolzo invoice.

Practice exercise

  1. Open Usage and note seat count vs active users in /school-panel/users.
  2. Download or view the latest Skolzo invoice in Billing.
  3. Identify one locked menu item and confirm whether plan upgrade enables it.

Troubleshooting

Cannot open billing — Your role lacks billing permission; ask a school admin.

Payment failed — Update card on billing page; ERP/CRM stay active during grace per your contract.

Usage mismatch — Deactivate unused users or purchase additional seats on Plan.
